What's inside

Outreach status
The stage of the relationship — Prospect, Contacted, Negotiating, Agreed, Content received, Posted, Declined. Filter by this column to see who needs a follow-up versus who is done.
Avg engagement rate
A rough fit signal you record from the creator's public posts — likes + comments relative to followers. Use clearly-example figures until you confirm them; engagement matters more than raw follower count for small collabs.
Deliverables agreed
Exactly what the creator will produce (e.g. "1 Reel + 2 Stories", "3 UGC videos we post"). Be specific so there is no ambiguity later — this is your shared reference, not a legal contract.
Rate / budget
The agreed fee, gifted-product value, or "product only". Keep it consistent (one currency) so you can total a campaign budget across rows.
Content due date
When the creator owes you the content or the post. Sort by this column to see what is coming up and chase anything slipping.
Posted (link)
The live URL once the post is up. A row only counts as fully done when this and Result / notes are filled in.

How to use this template

  1. Get the outreach tracker

    Download the pipeline tracker as a CSV for Excel, Google Sheets or Numbers, or copy it straight into a sheet — no import dialog and no account. Keep it open while you run an outreach campaign.

  2. Clear the sample rows

    The example rows show how each column is used and are obviously illustrative (handles like "@example.creator", figures like "e.g. 12,500"). Delete them and start with a blank grid.

  3. Add every prospect you find

    Drop one row per creator as you discover them — handle, platform, niche and how you will contact them. Set their Outreach status to Prospect or Contacted as you go.

  4. Track each conversation to a result

    Update Outreach status as the conversation moves, and fill in Deliverables agreed, Rate / budget and Content due date once you settle terms. Keep notes in plain language — this sheet is your memory, not a contract.

  5. Close the loop with the live link

    When content goes live, paste the URL into Posted (link) and jot the outcome in Result / notes. Sort or filter by status to see your whole pipeline at a glance.

  6. Schedule your side of the collab in SocialKit

    For UGC where you publish the creator's content, drop it into SocialKit to schedule and cross-post across your accounts — so the brand side of the collab ships on time alongside the creator's own post.

Best practices

  • Weigh engagement and audience fit over raw follower count — a smaller, well-matched creator often out-performs a big, generic account for a focused collab.
  • Personalise the first message and reference a specific post; track which approach in Contact / notes earned replies so you can repeat what works.
  • Write deliverables in plain, specific language ("1 Reel + 2 Stories, posted within 14 days") so both sides share the same expectation — and remember this sheet is a tracker, not a binding contract.
  • Agree on FTC-style disclosure up front (e.g. #ad / paid partnership label) and note it per row; disclosure rules and how each platform surfaces paid partnerships can change, so confirm current requirements (as of June 2026) before posting.
  • Use the Date contacted and Content due date columns to drive follow-ups — sort by them weekly so nothing stalls in "Contacted" or slips past a deadline.
  • For UGC you publish yourself, confirm usage rights are part of the agreed deliverables before you schedule the content anywhere.
